What You’ll Do
- Deliver first class customer service to all our customers. Customers will include Veeva clients, employees and contractors, etc.
- Ensure that the office runs smoothly on a daily basis by supporting office functions in a fast-paced environment.
- Managing/coordinating office moves and changes.
- Negotiate and monitor contracts terms and implementation with all external suppliers (utilities, building maintenance, landlord etc.), collect and control all related invoices
- Liaise with the landlord on any maintenance, security and health & safety issues. Maintain a safe and secure working environment
- Ensure a welcoming reception experience for employees and visitors. Manage mail/shipping functions for the office. This position will be responsible for maintaining a presence near entrance
- Manage the office supplies and stationery, stock control
- Planning and execution of workplace engagement activities/team events
- Work with employees to make a pleasant work environment
- Support onboarding / Off boarding proceedures
- Support payroll process
- Support change request from employee using HR system (Workday)
Requirements
- At least 4 years of office or facilities management experience
- Has growth mindset and positive attitude ensuring the best performance in a fast-changing company
- Project management and budget management experience
- Good level of computer literacy with proficiency in office applications
- Good command in both Japanese and English
- People oriented, with superior communication and interpersonal skills
- Strong passion in partnering with team and stakeholders to help drive engagement and an inclusive office/site environment for all employees
Nice to Have

- Experience working in a global company
- HR operation admin support experience is a plus
