  • Anthropic is seeking a highly organized and self-starting Administrative Business Partner to support senior leaders in our Munich office. In this pivotal role, you will own the scheduling and logistics for some of our function leaders, partnering closely with them on prioritization and providing real-time support to help ensure our teams have what they need to achieve their goals. As a key point of contact for internal and external partners, you will need to thrive in a fast-paced, ambiguous environment with shifting priorities, by building strong relationships, collaborating across teams, and problem-solving.
  • As the first ABP in this office, you will also take on workplace coordination responsibilities to help ensure our space runs smoothly and supports focused work and collaboration. These duties will be part of the role until the office grows to a scale that supports a dedicated Workplace Coordinator.

Responsibilities

  • Scheduling and managing calendars for our leaders across multiple teams, proactively identifying and resolving conflicts and ensuring time is aligned to priorities
  • Coordinating logistics for conferences and events for leaders' teams, in collaboration with cross-functional partners such as Sales and Marketing
  • Managing expense claims and reimbursements for leaders, ensuring timely processing and accurate record-keeping
  • Providing seamless and welcoming experiences for in-person visitors to the office, ensuring prospective partners and customers feel valued and appreciated
  • Coordinating complex travel arrangements, including international itineraries and last-minute changes
  • Assisting with ad-hoc projects and company-wide coordination, using your problem-solving skills and proactive mindset to drive positive outcomes
  • Building strong working relationships with other ABPs and cross-functional teams to ensure smooth coordination across the organization
  • Supporting leaders with meeting preparation, including gathering materials, drafting agendas, and tracking action items

Workplace Coordination (until the office scales to support a dedicated role)

  • Coordinating with vendors who handle day-to-day operations and maintenance of the office, such as deliveries, office supplies, and janitorial services
  • Helping to support office processes such as mail handling, shipping requests, and supply management
  • Addressing facility or workplace issues promptly, engaging the right vendor or internal team to resolve them
  • Partnering with People Operations, Security, and the broader Facilities team to ensure smooth office operations and a comfortable environment for employees
  • Coordinating with vendors who handle day-to-day operations and maintenance of the office, such as deliveries, office supplies, and janitorial services
  • Helping to support office processes such as mail handling, shipping requests, and supply management
  • Addressing facility or workplace issues promptly, engaging the right vendor or internal team to resolve them
  • Partnering with People Operations, Security, and the broader Facilities team to ensure smooth office operations and a comfortable environment for employees

  • Have at least 5-7 years of related experience in executive support or other administrative roles, and are energized by the idea of growing in those fields
  • Have strong professional proficiency in both written and spoken English, as well as in the local language, with the ability to communicate clearly and effectively in a business context
  • Have enthusiasm for supporting leaders in executing their vision, and ensuring they have the necessary resources and information to succeed
  • Are highly organized with the ability to prioritize multiple tasks while maintaining a high attention to detail
  • Thrive in fast-paced and changing environments
  • Have excellent time management skills and are able to manage multiple calendars, coordinate meetings, and travel arrangements
  • Have a positive and welcoming attitude and are able to communicate effectively with team members at all levels
  • Have a proven track record of handling sensitive and confidential information with discretion
  • Are comfortable wearing multiple hats and are energized by the opportunity to help build office culture and operations from the ground up

Role Specific Location Policy:

  • Currently, we expect all staff to be in our office at least 25% of the time. For this role specifically, we are expecting at least 3+ days a week in your regional office.
