Key Responsibilities
- Executive Leverage & Time ROI
- Own CEO and COO calendars end-to-end: scheduling, prioritization, time-blocking, and conflict resolution
- Act as a smart gatekeeper - ensure meetings have a clear purpose, pre-reads, desired outcomes, and the right attendees
- Build and maintain weekly/monthly cadence plans (1:1s, staff meetings, reviews, customer calls)
- Manage travel logistics, expenses, and Founder's Office budgets
- Operating Rhythm & Systems
- Own the operating cadence mechanics: agendas, minutes, action items, decision logs, and follow-ups
- Create and maintain a single source of truth for priorities, initiatives, key metrics, and action registers
- Partner with functional leaders to ensure timely closure of commitments; escalate risks early with crisp context
- Maintain key org artifacts: contact lists, org charts, stakeholder maps, and document repositories
- Project & Program Management
- Drive cross-functional initiatives sponsored by CEO/COO: planning, timelines, RAID logs, stakeholder updates
- Conduct structured research, synthesize inputs, and prepare concise briefs to support executive decision-making.
- Track execution against goals/OKRs; highlight slippage and propose recovery plans
- Coordinate executive off-sites, leadership meetings, and key events (agenda design, logistics, output capture)
- Executive Communications
- Serve as the primary coordination point between founders and internal/external stakeholders
- Draft and polish executive communications: emails, internal updates, meeting notes, presentations
- Handle sensitive and confidential information with exceptional judgment and discretion
What Success Looks Like
- First 30 Days: Calendar hygiene, meeting quality, and travel logistics become consistently low-friction. You build trust through responsiveness, accuracy, and confidentiality. You implement a clean system for actions, agendas, and follow-ups.
- By 60 Days: CEO/COO operating cadence runs reliably - pre-reads, outputs, action closure, and decision capture. You independently drive 1–2 cross-functional projects with clear status reporting.
- By 90 Days: You function as a true leverage multiplier- anticipating needs, preventing issues, accelerating execution. The Founder's Office becomes a predictable system: priorities visible, risks surfaced early, follow-through consistent.

Experience & Education
- Bachelor's degree in business, communications, engineering, or related field (or equivalent experience)
- 3–5 years in roles such as: EA/Founder's Associate, Business Operations, Consulting/Analyst, Program Coordinator, or high-ownership startup roles
- Exceptional fresh graduates with demonstrated leadership or operations experience may be considered
- Comfortable with modern productivity tools (Google Workspace, Slack, Notion/Confluence, Asana/Jira)
- Willingness to work with time-zone flexibility given the CEO/COO schedules and global stakeholders.
