Key Responsibilities

  • Perform secretarial and administrative duties.
  • Manage schedules, arrange appointments, travel, meetings, conference calls, etc. Complete schedule and travel management.
  • Coordinate internal and external meetings (agenda, book rooms, catering).
  • Provides specialised administrative support to relieve executive, administrative, and line and staff managers of administrative duties.
  • Handles details of a highly confidential and critical nature.
  • Collects and prepares information for use in discussions/meetings of executive staff and outside individuals.
  • Ownership of leadership meetings - runs agenda, coordinates presentations, distributing materials, taking action items for leader.
  • Prepares and submits expenses and may monitor adherence to department budgets. Supports development and modification of presentations.
  • Makes high-level contacts of a sensitive nature inside and outside the company and participates in problem resolution.
  • Maintains moderately complex spreadsheets.
  • Provides information in support of complex requests for department projects, programs, and/or events. May create some presentations independently.
  • Requires in-depth knowledge of company operations, policies, and procedures.
  • Provides high-level administrative support by conducting research, preparing reports, handling information requests, collects and prepares information for use in discussions/meetings of executive staff and outside individuals, and prepares presentation materials for board of director meetings.
  • Develops and maintain complex spreadsheets.
  • Maintains data sources for departmental records and management information reporting.
  • Creates, develops and modify presentations independently.
  • Collects data and generates management information reports and graphics.
  • Develop and execute a technology application development strategy that aligns with the company's business goals and drives innovation.
  • Provide thought leadership in technology trends and best practices.

Knowledge

  • Organisational skills, detail-oriented with demonstrated ability to handle multiple priorities and to take initiative to resolve issues.
  • Background in C- level service and support with capacity to navigate, digest, and make decisions effectively.
  • Proven mastery and experience in high volume calendar and messaging management using Microsoft Outlook to include managing appointments, forwarding and responding on behalf of others and taking a proactive approach regarding emails as needed.
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
  • Proven problem solver with experience leveraging partnerships to find solutions.
  • Ability to prioritize and complete high volumes of tasks, varying projects, and carry out event planning quickly and with little to no guidance; Ability to solve difficult or complex problems that affect people within the department or other related groups.
  • Ability to meet tight deadlines and can switch gears at a moment's notice.

Education

  • Bachelor’s degree or equivalent experience
  • 5 – 7 years of experience
