Responsibilities:

  • Provide proactive administrative support to senior executives (CCO), acting as a trusted partner and point of contact.
  • Manage complex calendars, meetings, and communications, resolving conflicts and anticipating needs.
  • Coordinate domestic and international travel and handle related expense reporting.
  • Plan and support on-site and virtual meetings and events, including logistics, materials, room setup, visitors, and catering.
  • Support light project management activities (tracking action items, follow-ups, and status) and partner closely with Executive Support colleagues to provide cohesive support to the leadership team.
  • Continuously identify and implement opportunities to streamline administrative processes and enhance team efficiency.
  • Handle confidential and non-routine information with the utmost care and discretion.
  • Provide responsive assistance to colleagues, clients, and vendors as requested.
  • Coordinate with IT support to anticipate and resolve technology needs or issues.
  • When supporting the CCO: Prepare and manage investor meeting materials and help ensure timely follow-up on action items. Plan and support investor meetings and on-site events in partnership with Commercial and Investor Relations stakeholders.

Requirements:

  • 3+ years of experience supporting senior executives; experience with C-suite and/or finance, investment, or technology leaders preferred.
  • Strong organizational skills with the ability to manage multiple tasks, deadlines, and priorities with excellent attention to detail.
  • Excellent written and verbal communication skills; professional, clear, and courteous in all interactions.
  • Ability to handle a high volume of work independently, exercise sound judgment, and maintain strict confidentiality.
  • Demonstrated urgency, flexibility, and comfort with changing priorities.
  • Proficiency with MS Outlook calendaring, Word, Excel, and PowerPoint; experience with Atlassian and other Agile Project Management tools (Jira, Confluence, Smartsheet) is a plus.
  • Ability to work a hybrid schedule with consistent in-office presence on key days (typically Tuesday–Thursday) and flexibility to come in on additional days as needed.
  • Authorization to work in the United States; Bachelor’s degree is a plus.
